Deposit Operations Specialist II – Greenville, NC (Corporate)
Job Title: Deposit Operations Specialist II
FLSA: Non-Exempt
Under minimal supervision and according to existing procedures and systems, depending on the complexity, performs some or all of the following daily functions within the deposit operations department.
Primary Responsibilities
- Correspondent Bank Account. Responsible for balancing the Bank’s accounts with our Correspondent Banks on a daily basis. Also responsible for initiating the following transactions through our Correspondent Banks: ACH returns, ACH originations, processes ACH notices, processes incoming wires, initiates outgoing wires, Cash Orders/Shipments, foreign currency orders. Responsible for printing daily notices and statements.
- FED Adjustments. Research and locate FED adjustments and prepare all necessary paperwork and entries related to such adjustments.
- General Ledger. Responsible for balancing various general ledger accounts on a daily basis and bringing any discrepancies to the attention of the Deposit Operations Manager. Responsible for making applicable general ledger entries in the core system.
- Non-Post Items. Responsible for working all non-posted items daily and correctly posting them in the JHA 20/20 system.
- Return Items. Responsible for submitting all paper return items to the FED daily for proper credit.
- Teller/Branch Cash. Monitors teller/branch cash and corrects any variances. Notifies the Operations Manager when assigned limits are not maintained.
- ATM/Debit Cards. Reconcile all ATM accounts daily. Order ATM/Debit Cards for customers and perform any necessary maintenance to existing cards. Handle customer disputes with card transactions.
- Tax Levies/Garnishments. Receive tax garnishment notices from local, state and federal governments. Verify account information, notify customer and branch and remit funds as required by statue.
- Reg E Disputes. Research and process POS and ACH disputes and submit charge-back requests and process necessary paperwork and entries to credit customers and notify them of resolution to their disputes.
- Customers Support. Provides support to customer questions and issues. Assists with support for electronic banking products and services.
- Imaging. Review deposit documents imaged by the branches and approve in document imaging system.
In addition, this position will support the Deposit Operations team by providing backup support for other department job functions that could include some of the following tasks:
- IRAs. Assist with the Bank’s IRA administration. Prepares documentation to submit to Bankers Systems who administers the Bank’s IRAs. Reviews all notices, documents and year end tax documents for accuracy prior to sending to the customers. Ensures the JHA system and the Bankers System records agree and investigates and corrects any discrepancies. Responsible for updating procedures and disseminating policies and procedures to the applicable branch employees. Works with the Bank’s IRA consultant, Diversified Learning, to ensure the IRA manual is up-to-date and accurate. Works with the Operations Manager to organize IRA training for applicable employees.
- Charge Offs. Responsible for making any necessary DDA charge-offs and reporting charge-offs to Deluxe Detect. Oversees the collection of payments on charge-offs.
- Bounce Protection. Responsible for managing and overseeing the Bank’s Bounce Protection program, and for sending all applicable letters, notices and disclosures to customers.
- Cash Items. Responsible for processing all cash items and ensuring they are sent to the branch and the branch is notified of the returned items in a timely manner.
- Online & Mobile Banking. Sets up online banking and bill pay accounts for customers. Performs maintenance to online banking accounts as needed. Resets users who have been locked out. Assists the Electronic Banking Officer in handling customer support issues related to online and mobile banking.
- OFAC and FinCEN 314(a). Responsible for verifying all OFAC and FinCEN 314(a) reports as they are received. Responsible for notifying applicable authorities of any matches.
- Master Rates. Responsible for changing all master rates as they are updated. Monitor for daily changes to select rates. Provides notification to applicable employees of a change in the prime rate and updates the rate in the core system.
- ATM Reporting. Prepare the Master Money report quarterly.
- ATM/Debit Cards. Reconcile all ATM accounts daily. Order ATM/Debit Cards for customers and perform any necessary maintenance to existing cards. Handle customer disputes with card transactions.
- Dormant Accounts. Monitor and maintain all dormant accounts in accordance with applicable rules and regulations and following all Bank procedures.
- Excess Debits. Monitor and track excess debits in accordance with regulation D and follow all Bank procedures related to customer notices and account closures/changes.
- Internal Account Reconciliations. Balance all internal checking accounts monthly and make necessary entry charges as it relates to check charges and other expenses incurred during the month by branch related orders. Keep up with escheat items, if any.
- Direct Deposit Reclamations and Death Notifications. Research reclamations upon arrival and submit funds as needed. Place death notifications and holds on account for deceased beneficiaries.
- BSA/AML/OFAC. Comply with federal BSA/AML and OFAC regulations and follow internal Bank procedures related to monitoring, processing of transactions and reporting.
- Training. Responsible for completing all assigned and required training by designated due dates.
Basic Requirements
- High school diploma or equivalent.
- 3 or more years operations or banking experience preferred; Accounting experience required.
- Basic knowledge and experience with practical application of accounting concepts, including account research and reconciliation.
- Strong knowledge of regulations and procedures as they pertain to deposit operations and banking is preferred.
- Ability to serve clients in a cordial, tactful and professional manner.
- Excellent audio, oral and written communication skills to accurately interpret client needs and assist customers with inquiries.
- Excellent visual skills to read reports, screens and process transactions.
- Proficient with Outlook, Word, and Excel applications. Experience with Jack Henry core system and ancillary applications preferred.
- Ability to operate various types of office equipment, which includes but may not be limited to: telephone, copier, computer, and fax machine.
- Strong organizational skills, math skills, and attention to detail required.
- Must maintain confidentiality at all times.
Physical Demands
This position requires manual dexterity, the ability to lift files and open filing cabinets and the ability to occasionally lift and/or move up to 20 lbs. The position requires bending, stooping or standing as necessary.
